Vendor Terms & Policies
PRE-EVENT PLANNING
Vendors are permitted to bring displays and stands. You are required to supply your own tables and chairs with the exception of shared space registrations. If you are bringing a table or display that will not fit within your designated space you must notify the event team at least 30 days prior to the event for approval.
We encourage vendors to be as unique as you please with your display. Loud music is prohibited. Vendors must submit the vendor application and pay the registration fee before vending space is reserved. As a registered vendor you are welcome to submit a promotional item, i.e., coupon, business card, flyer, etc., to be included in our complimentary registration bags given to all attendees.
SCHEDULE
Northern California 2022 Expo: Vendors may have access to event space beginning at 9:00 am. The event concludes at 6:00 pm and vendors have until 8:00 pm for break down.
RESPONSIBILITIES
MadHatchers does not tolerate hateful behavior, slander, libel, or defamatory behavior from vendors, attendees, members, or anyone associated with the organization or event in any way.
MadHatchers expects that all vendors adhere to the laws and regulations relating to their business.
MadHatchers is not liable or responsible for any accidents, losses, or incidents that occur while vendors, volunteers, or patrons are on the exposition floor. In addition, MadHatchers assumes no liability or responsibility for any effects small business vendor products may have on patrons. Each vendor holds responsibility and liability for their own products and product effects.
MadHatchers expects and encourages that all attendees adhere to the COVID-19 policies and recommendations set forth by the State of California.
CANCELLATION
Registration fees are non-refundable, with exception of MadHatcher’s declining an application. In the event of a proven accident, riot, strike, epidemic, an act of God or any other legitimate condition or occurrence beyond their respective control, the expo will be rescheduled for a date to be determined. In the event this event is canceled by MadHatchers, this contract is null and void and vendors will receive a full refund.
PERMISSIONS
By applying to register as a vendor, you are creating a free vendor/store profile in the MadHatchers’s system. As a registered vendor you provide MadHatchers consent to use your name, logo, and likeness to advertise your attendance at the expo. MadHatchers may also photograph your table/setup at the event, and share those photos online.
Your submission of the vendor registration application form authorizes your consent to these terms.
Attendee Terms & Policies
“Attendees” are also known and referenced as “customers” and “members”
All sales and transactions during the event are by and between “vendor” and “customer”. MadHatchers makes no guarantees on services, products, or adoptions transacted in the event or within our platform. Please communicate and coordinate directly with vendors on any service-related inquiries. Buyer discretion is advised.
Attendees are limited to access only attendee designated areas and prohibited from vendor and staff spaces.
Cannabis consumption and sale is prohibited during the event.
The sale of any items is prohibited for those who are not registered as a vendor
Open flames (candles, incense, pyrotechnics, etc.) are prohibited.
All actions must be conducted in a safe manner and comply with all municipal, state, and federal laws.
Event equipment (media or furniture) should not be handled by anyone who is not authorized
MadHatchers reserves the right to deny services and or entry to any persons in its sole and absolute discretion.
By registering to or by attending the expo, you are agreeing to these terms.
